Job Background:

The Infrastructure Optimization Manager will be involved in a variety of tasks that requires management of the Infrastructure cost-saving and Projects and Installs teams, interaction with Company’s customers and the customer systems.  The candidate will need a solid understanding of infrastructure and leading IT technologies.   This role also requires the ability to troubleshoot issues and to mentor and develop staff when required.

 

Job Purpose:

The Infrastructure Optimization Manager will manage and monitor the teams that resolve problems from our customers and install Company projects.  They will be required to, manage workloads and prioritize work across the teams as well as develop the service delivery organization within Company. The role will identify proactively CSI opportunities, classify and prioritize them, then follow up to gain approvals and identify budget for significant investment initiatives. The role is required to monitor CSI initiatives / projects tracking benefits, interface with service owners within engineering and operational team, and further continuously improve across all areas to drive continuous sustainable improvement / savings.

 

Principal Responsibilities:

The role is responsible for ensuring the smooth running of our Customers systems and network infrastructure ensuring they get maximum benefits from them. Tasks may include:

·         Management of key staff responsible for Service Desk and Projects and Installations

·         Be responsible for career development and appraisals.

·         Service transition for customers as services are added or removed.

·         Implement a functional PMO approach to manage project risk

·         Develop and implement a project accounting approach to identify project profitability

·         Ensure the company tools and information systems are utilized correctly and relevant information is provided.

·         Definition of service level agreements (SLAs) related to contracted services and that escalation flows are in place, advise technically on escalations.

·         To build services relationships with clients.

·         Ensure quality and profitable services are performed to the agreed SLA.

·         To specify systems, processes and methodologies, to ensure effective monitoring, control and support of service delivery.

·         To ensure reports are provided to an agreed schedule (or on request), including management and account performance reports.

·         Display and apply knowledge of technologies including: Microsoft, Infrastructure Networks, thin client technologies, server virtualisation and an awareness and understanding of additional software programmes and technologies relevant to technical infrastructure environments.

·         Minimum of 5 years’ experience in the field.

Title:    Project Manager:  Human Resource and Finance Systems

Reports to:       Chief Financial Officer

Location: Atlanta, GA

Contract to Hire      

                 

Hours of Work:

Standard work week.

§  Must be willing and able to work the hours required during peak periods. 

§  Must be able to travel between co-HQ locations regularly (~15% travel).

 

SUMMARY OF POSITION:

 

Project Manager is accountable for delivering on multiple projects in the Human Resource and Finance functions within client as well as potential new acquisitions.  Responsibilities will include properly controlled project management, reporting, training and delivery of several integrated solutions. The candidate should be highly skilled and process oriented while pursuing a fast-paced environment within a dynamic, entrepreneurial environment.  The Project Manager must maintain a results driven approach and hold him/herself accountable for results.

ESSENTIAL DUTITES and RESPONSIBILITIES:

This role is an individual contributor scoped for the next six (6) months.  Based upon the success of the current projects, this could turn into additional work following project completion. A successful candidate will be responsible for:

1.     Human Resources. Working alongside our HR managers for NY and Atlanta:

a.     Implement a single payroll system and process across the existing 5 platforms and any new acquisitions

b.     Implement the necessary time and attendance systems, with a single process or policy to cover all systems for hourly workers

c.     Design and implement an employee self-service platform for recurring HR related activities such as employee benefits, vacation and holidays, sick time and awards

d.     Ensure compliance with all local, state and federal wage requirements including those yet to take effect (minimum wage laws, paid breaks etc)

e.     Ensure any solution allows for future developments such as performance planning, training and development and policy deployment

2.     Finance.  Working with our controllers and CFOs in NY and Atlanta:

a.     Assist in the rollout of a single general ledger nationally

b.     Develop a process for rolling out new policies and procedures that incorporate Sarbanes Oxley requirements for internal controls and best practices

c.     Implement a single chart of accounts across all base and feeder systems to ensure proper integration of all financial and operational data

QUALIFICATIONS:

·         5-7 years of project experience working in system implementation for both human resources and accounting

·         A solid understanding of Navision general ledger is required. 

·         While the HR platform has not been chosen, familiarity with all major national HR platforms is a plus

·         Robust interpersonal and communication skills

·         Understanding of internal controls and developing/implementing control processes

·         Advanced ERP experience required

·         Strong communication skills and customer service focus are essential to this position

·         Experience coaching or managing people a plus

·         Demonstrated ability to multi-task and generate results 

EDUCATION:

·         Bachelors in Accounting or Finance

·         Certificates in project management, six sigma or HR desired

PHYSICAL REQUIREMENTS:

§  Normal lifting, sitting, computer exposure for an office based role

§  Extensive time in front of a computer screen, data entry and analysis

Role: Desktop Support Technician – Level 1

General Description:

This position assists users with technical support for desktop/laptop computers, applications, printers and related technologies.

 

Responsibilities:

·         Provide hardware / software / network problem diagnosis support/resolution to end users located onsite. Wi-Fi support and Mobile Device support.

·         Assists users with installation, configuration and ongoing usability of computers and peripherals within established standards and guidelines.

·         Basic phone system support of desk phones and other ancillary telecom hardware and software; Data network troubleshooting and support including campus MDF, IDF and hardware/connections servicing campus.

·         Coordinate and manage relationships with support teams that provide support for hardware / Software / network and other infrastructure problem issues.

·         Setup, configure, and support for video conferencing as provided by Apollo in campus conference rooms and classrooms.

·         Works with vendor support contacts to resolve technical problems.

·         Works with service desk as appropriate to determine and resolve issues faced by end users.

·         Respond to support requests from service desk, users and other infrastructure teams.

·         Use the Ticket Tracking System (HPSM) to document and manage Incidents, Service requests, problems and their respective resolutions and avoidances.

·         Backing up/restoring user profiles, e-mail and Apollo work related documents.

·         Training: Be willing to participate & provide training to the service desk team to help enhance skills and support capabilities. End user training on software and technology related items; Guidance to students and faculty on the use of Apollo technology.

·         Create Knowledge base articles to track appropriate knowledge.

·         Ensure all escalated tickets are handled and resolved with high customer satisfaction and with Tickets aging in control.

·         Work on Reporting, generating day to day reports, Adhoc reports as and when required.

·         Have some level of technical understanding of the products building up a desktop service.

·         Coordinate desktop changes to avoid deployment collisions.

·         Returns defective equipment/parts to maintenance inventory, documents customer repairs, maintains and restocks assigned parts inventory to insure proper spare parts levels.

·         Escalate the issues to proper tier 3 support team when the restoration is beyond the scope and all resources are exhausted.

·         Develop trends by monitoring and analyzing incoming incidents or service requests.

·         Willing to travel to remote sites to provide support as and when required.

Role: Infrastructure Program/ Project Manager (PMP Certified)

Project Delivery Office (PM and TECH SMEs)

·         Use the PMI Project Management methodology as a framework to consistently plan, initiate, control, and implement all Projects for all Services and integrate into the Client Project Management framework except as otherwise directed by Client

·         Assign Project personnel with the required experience in PMI methodology and have a proven track record of success in using it to manage projects

·         Provide Project Management resources for infrastructure Projects as requested by Client

·         Upon request, participate in Client’s business planning meetings to review operations and business plans and recommend appropriate IT services and Projects to support plan execution

·         Maintain appropriate levels of industry knowledge of Clients’ businesses in order to provide support and recommendations on Projects. The knowledge will be obtained and maintained through, among other activities, participation in industry meetings, forums and conferences at Service Provider’s expense.

·         Prepare charters and Project plans for all Projects to deliver the approved Services

·         Manage directly the relationship with Clients' Project sponsor and business and IT stakeholders involved in the Project

·         Manage all Service Provider tasks and resources associated with the Project, and assist with the coordination of activities with Client, affected authorised users, and affected Client’s third party service providers.

·         Use Project Management tools and methodologies, and employ a regular reporting mechanism that aligns and integrates to Client’s expectations of processes and tools to identify Project tasks, present current status reports and next steps, and escalate critical issues.

·         Provide Project Management tools and methodologies, that align and integrate to Client’s expectations of processes and tools to identify Project tasks, present current status reports and next steps, and escalate critical issues.

·         Provide weekly status reports to Client or more frequently in accordance with a mutually agreed schedule. Using Project Management tools and methodologies, employ a regular reporting mechanism to identify Project tasks, budget, present current status reports and next steps, financial KPIs such as EAC and ETC, progress made, and identify potential bottlenecks and problems.

·         Manage all Client tasks and resources associated with the Project in compliance with the Operational Change Management Procedures.

·         Liaise as necessary with the Client Project Manager in all phases of the Project planning and implementation.

·         Complete all current and planned Projects as directed by Client in accordance with the following:

              Client’s project management, and the SDLC process in place

              Adhere to IT  Operational Change Management Procedures to address any changes in scope, schedule or budget of a Project

 

The Project service delivery model provided by Service Provider for the duration of the Project(s) assigned will be dedicated and named Project resources to Client Projects that include PMs, Infrastructure Solution Leads, delivery resources such as: Windows/Linux/Unix/database/middleware/storage/Citrix/etc. administrators (not shared with Operations), etc. which under the Client’s Infrastructure PMO management and control will deliver end-to-end infrastructure projects to Client.

·         Project Managers assigned to Client will be PMP certified and have a minimum of 7 years of infrastructure experience for standard PM and a minimum of 10 years of infrastructure experience for senior PMs.

 

Functional responsibilities of the PM will include:

•           Demand management

•           Rough estimates (+/- 50%)

•           Project initiation and planning installation Services

•           Project execution

•           Operational readiness

•           Project warranty through Project closure

•           Project closure (Project closure should include “Lessons Learnt”, customer satisfaction survey, and compliance with operational support processes i.e. operational readiness, DR, etc.)

The key success factors for Project delivery include:

•           Deliver all Projects on time, on budget and to Client’s expectations

•           Target to achieve a 80% + customer satisfaction for each Project delivered

•           Deliver ‘t-shirt’ estimates for infrastructure Services within 48 hours from the time the request is sent to Service Provider

•           Complete the requirement gathering and Project solution design within agreed timelines.

o    Integrate and accept handoff from Client’s infrastructure group for implementation by third party based on a reasonable scan and checklist agreed with Client. The process will be simple and Service Levels will apply when infrastructure is subject to Service Levels set forth in Schedule AC.

o    Maintain a core team of PMO dedicated resources both local and offshore to be able to manage the forecasted Client volume of Projects.

o    In order to meet the dynamic Client Project demand, ramp up or down any PMO resources including: Project Service Delivery (Unix, Intel, Linux, DBA, MW, etc.) PM, senior PM, and Project Leads with 2 weeks’ notice from Client, unless an exception has otherwise been approved by Client.

o    Approve customer satisfaction cards

o    Provide sign off for Project Deliverables

o    Approve invoices for the Project work executed by Service Provider

o    Approved assignment of Service Provider resources to Client Projects
